Introduction

These Terms and Conditions ("Terms") govern your access to and use of the PDFCrate platform and services available at pdfcrate.com ("Service", "Platform", or "PDFCrate"). Please read these Terms carefully before using our Service.

By accessing or using PDFCrate, you confirm that you are at least 18 years of age (or the age of majority in your jurisdiction), that you have read and understood these Terms, and that you agree to be bound by them. If you are using PDFCrate on behalf of a business or organisation, you represent that you have authority to bind that entity to these Terms.

If you do not agree to these Terms, you must not use our Service.

1. About PDFCrate

PDFCrate provides an online platform offering:

(a) Free PDF tools — document processing tools including merging, splitting, compressing, converting, rotating, and protecting PDF files. These tools are available without account registration and are provided free of charge.

(b) AI-powered tools — artificial intelligence features including PDF summarization, translation, and bank statement to Excel conversion. These tools require a registered account and an active paid subscription and consume credits from your plan allowance.

We reserve the right to modify, expand, or discontinue any part of the Service at any time, with or without notice. Because our free tools are provided without charge, we are under no obligation to maintain any specific feature or level of service availability.

2. Account Registration

2.1 Eligibility

You must be at least 18 years of age to create an account. By registering, you confirm that you meet this requirement and that all information you provide is accurate and complete.

2.2 Account Security

You are responsible for maintaining the confidentiality of your login credentials. You must not share your password with any other person. You are responsible for all activities that occur under your account, whether or not authorized by you. If you suspect unauthorized access to your account, contact us immediately at support@pdfcrate.com.

2.3 Account Verification

Following registration, we will send a verification email to the address you provided. Your account will not be fully activated until you verify your email address. We may decline to activate accounts associated with disposable, temporary, or invalid email addresses.

2.4 One Account Per Person

Each person or organisation may maintain only one account. Creating duplicate accounts to circumvent usage limits, credit restrictions, or subscription rules is prohibited and may result in suspension of all associated accounts.

3. Free Tools — Usage Terms

3.1 Availability

Our free PDF tools are provided as a convenience. We make no guarantee of uptime, processing speed, output quality, or continuous availability. Service may be temporarily or permanently disrupted without notice.

3.2 Fair Use

Free tools are intended for personal and reasonable commercial use. Automated, scripted, or bulk use of our free tools through bots, scrapers, or similar mechanisms is not permitted. We reserve the right to rate-limit or block IP addresses or accounts that engage in such use.

3.3 File Processing

When you upload a file for processing, you grant PDFCrate a limited, temporary licence to process that file solely for the purpose of completing the tool operation you requested. This licence expires automatically upon deletion of your file, which occurs within one hour of upload or processing completion.

3.4 No Warranty on Output

The outputs produced by our tools are provided on an "as is" basis. You are responsible for reviewing all output files before using them for any purpose. We do not warrant the accuracy, completeness, or fitness for purpose of any processed document.

4. AI-Powered Tools and Subscription Plans

4.1 Subscription Required

AI-powered tools (PDF AI Summarizer, PDF AI Translator, AI Bank Statement to Excel, and any future AI features) require an active paid subscription. Access is gated by a credit system — each AI operation consumes a defined number of credits from your monthly allowance.

4.2 Credit System

Credits are allocated to your account at the start of each billing period according to your subscription plan. Credits are non-cumulative — unused credits expire at the end of each billing period and do not roll over to the next period. Credits cannot be transferred between accounts or refunded for partial use.

The credit cost of each AI operation is determined by the length of the document being processed (short: 1-5 pages, medium: 6-20 pages, long: 21-50 pages). Current credit costs are displayed on the Pricing page and in your account dashboard. We reserve the right to adjust credit costs with reasonable notice.

4.3 Fair Use Cap

Your subscription plan includes a monthly credit allowance. Once your credits are exhausted, AI tools will be unavailable until your credits reset at the start of your next billing period. You may not attempt to circumvent credit limits through any technical means.

4.4 AI Processing by OpenAI

AI features are powered by OpenAI's API. Files processed through AI tools are transmitted to OpenAI for analysis. By using AI tools on PDFCrate, you acknowledge that your document content will be processed by OpenAI in accordance with their usage policies. You must not submit documents through AI tools that contain confidential information you are not authorized to share with third-party AI processors.

4.5 AI Output Accuracy

AI-generated summaries and translations are produced by machine learning models and may contain errors, omissions, or inaccuracies. AI output is provided for informational purposes only and should not be relied upon as a substitute for professional advice, legal review, or certified translation. You are solely responsible for verifying the accuracy of AI-generated output before acting on it.

4.6 Bank Statement to Excel — Specific Terms

The AI Bank Statement to Excel Converter is designed to assist with extracting transaction data from standard bank statement PDFs. The following specific terms apply to this tool:

(a) Accuracy and verification: The tool uses AI to interpret the visual layout of your bank statement. While we have engineered it for accuracy, AI extraction is not infallible. Factors that may reduce accuracy include: scanned or photographed statements (as opposed to digitally generated PDFs), statements with unusual formatting, faded or unclear print, rotated pages, handwritten annotations, statements in languages other than English, and statements from banks with non-standard layouts. You must independently verify every extracted transaction against your original statement before using the output for any purpose.

(b) Not a substitute for professional services: The Excel output generated by this tool is not a certified financial record, an audited account statement, or a substitute for records provided directly by your bank. It must not be submitted as a primary financial record to any regulatory authority, tax authority, court, or financial institution. It may be used as a working document to assist your own record-keeping, subject to independent verification.

(c) Data you submit: By uploading a bank statement, you confirm that you are the account holder or have the explicit authorisation of the account holder to process this document through a third-party AI service. You must not upload bank statements belonging to other individuals or organisations without their explicit written consent.

(d) No storage of financial data: Extracted transaction data is not stored on PDFCrate's servers after your Excel file is generated and the download link is served. We do not maintain records of your financial transactions and cannot recover data from a previously processed statement.

(e) Credits consumed on processing: Credits are deducted from your account when processing begins, before the extraction result is delivered. If processing fails due to a technical error on our side, credits will be refunded automatically. Credits are not refunded if the extraction completes successfully but the output does not meet your expectations due to document quality or AI limitations — in this case, refer to our Refund Policy.

5. Billing, Payments, and Cancellation

5.1 Subscription Billing

Paid subscriptions are billed on a recurring monthly basis. By subscribing, you authorize PDFCrate to charge your payment method on file at the start of each billing period until you cancel.

5.2 Payment Processing

All payments are processed securely by Stripe, Inc. PDFCrate does not store your credit card details. Payment failures will result in a notification to your registered email address. If payment cannot be collected after reasonable retry attempts, your subscription may be suspended or cancelled.

5.3 Price Changes

We reserve the right to change subscription pricing at any time. Existing subscribers will receive at least 30 days' notice before any price change takes effect. Your continued subscription after the effective date of a price change constitutes acceptance of the new price.

5.4 Cancellation

You may cancel your subscription at any time from your account dashboard. Cancellation takes effect at the end of your current billing period — you will retain access to AI features and your remaining credits until that date. We do not offer partial-month refunds for cancellations mid-period, except as set out in our Refund Policy.

5.5 Account Termination by PDFCrate

We reserve the right to suspend or terminate your account immediately and without refund if you breach these Terms, engage in fraudulent activity, abuse our platform or its credits, or if we are required to do so by law.

6. User Responsibilities and Prohibited Conduct

6.1 Your Content

You retain full ownership of all files and documents you upload to PDFCrate. You are solely responsible for ensuring you have the right to upload and process each document. You must not upload files that infringe the copyright, trademark, privacy, or other rights of any third party.

6.2 Prohibited Uses

You must not use PDFCrate for any of the following purposes:

  • Processing, distributing, or generating documents containing illegal content, including but not limited to: material that sexually exploits minors, incites hatred, promotes violence, or violates any applicable law
  • Uploading or processing documents containing malware, viruses, or any malicious code intended to harm our systems or other users
  • Attempting to gain unauthorized access to our systems, other user accounts, or any portion of the platform not intended for your use
  • Using automated tools, bots, scripts, or crawlers to access or interact with PDFCrate without our express written permission
  • Reverse engineering, decompiling, or attempting to extract the source code of any part of our platform
  • Reselling, sublicensing, or redistributing our services or outputs as if they were your own product without our written consent
  • Deliberately attempting to circumvent credit limits, subscription restrictions, rate limits, or any other technical enforcement mechanism
  • Impersonating another person or organization in any communication or document processed through our platform
  • Using PDFCrate to process documents that are subject to professional confidentiality obligations (legal privilege, medical privacy, attorney-client communications) unless you have independently verified that doing so is legally permissible
  • Uploading bank statements or financial documents belonging to other individuals, businesses, or entities without their explicit written authorisation to process their financial data through a third-party cloud AI service
  • Using extracted financial data from the AI Bank Statement to Excel tool to commit fraud, identity theft, financial crime, or any other illegal act, or to facilitate such acts by others

6.3 Sensitive Documents

While we take reasonable security precautions, PDFCrate is a general-purpose tool and is not certified or specifically hardened for the processing of classified government documents, legally privileged communications, highly sensitive medical records, or documents subject to special regulatory protection.

Regarding the AI Bank Statement to Excel Converter specifically: bank statements are financial documents that may be subject to privacy legislation, banking secrecy obligations, and financial services regulation in your jurisdiction. Users in regulated industries or jurisdictions with strict financial data privacy requirements (including but not limited to Australia's Privacy Act 1988, the EU's GDPR, or equivalent instruments) should independently assess whether processing bank statements through a third-party AI service is compliant with their obligations before uploading. Users who upload financial documents do so at their own risk and responsibility.

7. Intellectual Property

7.1 Our Platform

All software, design elements, graphics, text, and other content comprising the PDFCrate platform are the intellectual property of PDFCrate or its licensors. Nothing in these Terms grants you any right to use our trademarks, trade names, logos, or branding.

7.2 Open Source Engines

PDFCrate's tools are built on open-source software engines including Ghostscript (AGPL), QPDF (Apache 2.0), LibreOffice (MPL), Tesseract OCR (Apache 2.0), and other open-source components. Use of these components is governed by their respective open-source licences.

7.3 Your Documents

You retain all intellectual property rights in the documents you upload. We do not claim any ownership over your files or the processed output derived from them.

7.4 Feedback

If you provide us with feedback, suggestions, or ideas about our service, you grant us a perpetual, royalty-free licence to use that feedback to improve our services without any obligation to compensate you.

8. Disclaimer of Warranties

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, PDFCRATE IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS WITHOUT ANY WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, OR NON-INFRINGEMENT.

We do not warrant that:

  • The Service will be uninterrupted, error-free, or available at any particular time
  • The results of using the Service will be accurate or reliable
  • Any defects or errors will be corrected
  • The Service is free from viruses or other harmful components

Some jurisdictions do not allow the exclusion of implied warranties, so some of the above exclusions may not apply to you.

In addition to the general disclaimers above, we specifically disclaim any warranty regarding the accuracy, completeness, or fitness for purpose of data extracted by the AI Bank Statement to Excel Converter. Financial figures extracted by AI may contain errors. We make no representation that the extracted data will match your official bank records in all cases.

9. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL PDFCRATE, ITS DIRECTORS, OFFICERS, EMPLOYEES, OR AGENTS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF DATA, LOSS OF PROFITS, LOSS OF REVENUE, LOSS OF GOODWILL, OR BUSINESS INTERRUPTION, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF OR INABILITY TO USE THE SERVICE, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

OUR TOTAL CUMULATIVE LIABILITY TO YOU FOR ANY CLAIMS ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE GREATER OF: (A) THE TOTAL AMOUNTS YOU HAVE PAID TO PDFCRATE IN THE 12 MONTHS PRECEDING THE CLAIM, OR (B) USD $50.

NOTHING IN THESE TERMS LIMITS OR EXCLUDES LIABILITY FOR DEATH OR PERSONAL INJURY CAUSED BY NEGLIGENCE, FRAUD, OR ANY LIABILITY THAT CANNOT BE EXCLUDED UNDER APPLICABLE LAW.

10. Indemnification

You agree to defend, indemnify, and hold harmless PDFCrate and its officers, directors, employees, and agents from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising from or related to:

  • Your use of the Service in violation of these Terms
  • Your violation of any applicable law or regulation
  • Your infringement of the intellectual property or other rights of any third party through content you upload or process
  • Any misrepresentation made by you in connection with your use of the Service

PDFCrate may contain links to third-party websites or integrate with third-party services (such as Stripe for payments and OpenAI for AI features). These third parties operate independently and have their own privacy policies and terms. We are not responsible for the content, practices, or policies of any third-party service. Your use of third-party services is entirely at your own risk.

12. Modifications to the Service and Terms

12.1 Service Changes

We may add, modify, or remove features of the Service at any time. We may change our pricing, credit allocations, or tool availability with reasonable notice. For material changes to paid features, we will notify active subscribers by email with at least 30 days' notice.

12.2 Terms Changes

We reserve the right to update these Terms at any time. We will indicate the date of the most recent revision at the top of this page. For material changes, we will notify registered users by email. Your continued use of PDFCrate after the effective date of any changes constitutes acceptance of the updated Terms. If you do not agree with updated Terms, you must cancel your subscription and stop using the Service.

13. Termination

13.1 Termination by You

You may close your account at any time through your Profile page. Upon account closure, your personal data will be deleted in accordance with our Privacy Policy.

13.2 Termination by PDFCrate

We reserve the right to suspend or permanently terminate your access to the Service at our sole discretion, with or without notice, if:

  • You violate any provision of these Terms
  • We reasonably suspect fraudulent or abusive use
  • Required by law or a court order
  • Your subscription payment fails and cannot be recovered

Upon termination, your right to access the Service ceases immediately. Provisions of these Terms that by their nature should survive termination (including intellectual property, disclaimers, indemnification, and limitation of liability) shall survive.

14. Governing Law and Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of [JURISDICTION — to be updated by the site owner]. Any dispute arising from or relating to these Terms or your use of PDFCrate shall first be attempted to be resolved through good-faith negotiation. If a resolution cannot be reached within 30 days, disputes shall be subject to the exclusive jurisdiction of the courts of New South Wales, Australia.

If any provision of these Terms is found to be unenforceable under applicable law, that provision shall be modified to the minimum extent necessary to make it enforceable, and the remaining provisions shall continue in full force and effect.

15. Entire Agreement

These Terms, together with our Privacy Policy and Refund Policy, constitute the entire agreement between you and PDFCrate regarding your use of the Service and supersede all prior agreements or understandings, whether oral or written, relating to the same subject matter.
